Introduction

Job Tickets is the first module in The Wizard’s Wand’s support system – “The Magical World of Wizardry” – which is currently being developed.

The module enables the user to create job tickets on-line and follow the progress of each Job assigned. Furthermore, the module provides an overview of all jobs on an ongoing basis including current status and time consumed.


Create New Tickets

Initially the user creates a new ticket, where the task is given a simple subject heading and described in detail with the option of attaching files such as images or sound bites to the message. The new ticket is assigned to one employee and given a number of parameters such as status and priority.


Working with Job Tickets

Once a new ticket has been opened, all users can add comments and files and change the priority of the job ticket. All comments are stacked vertically with tabs for easy access.

The Job Ticket module features a comprehensive search function to retrieve job tickets and display selected tickets in a table for easy monitoring of the overall work flow. Here the number of billable hours spent on each job ticket is also displayed.

It is advisable that each job ticket is confined to a specific and clearly defined task. Projects that are more extensive should ideally be broken down into several individual job tickets of a manageable size. Also it is recommended, that a job ticket always is assigned to the employee who is in charge of the task being implemented, even though several employees can work on the same job ticket.

 

Open Job Tickets Module

When you have logged on from The Wizard’s Wand main menu, you enter “The Magical World of Wizardry”, which has a local menu bar with the following menu-items:

 

JOB-TICKETS 

STATISTICS

ACCOUNTS

TOOLS

INFO

 

Click on JOB TICKETS to open the Job Tickets module.

 

NOTE: 

The Wizard’s Wand main menu bar now has an additional menu-item: “MAGICAL WORLD OF WIZARDRY”. As long as you remain logged on you can temporarily leave the Job Tickets module and visit other pages on the entire website. To return, simply click on THE MAGICAL WORLD OF WIZARDRY in the main menu.

Create New Job Ticket

The local Job Tickets menu has only 3 items (light blue):

To create a new Job Ticket:

 

  1. Click on Create New Ticket.
  2. Select the desired setting in the Category field drop-down menu. If non of the predefined categories match the job
    description,  select General.
  3. Select the Employee in the drop-down menu who has responsibility for the job.
  4. Chose the level of Priority in the pull-down menu (high/medium/low).
  5. Write a brief heading in the Subject field, that describes the job (must be filled in).
  6. Write a precise and detailed Description of the job in the text-editor (must be filled in).
  7. Attach files to the Job Ticket such as images, sound bites, pdf-documents etc. if desired by clicking on the light grey 
    Chose Files button.
  8. Save the new Job Ticket by clicking on the pink Submit Ticket button.

 

NOTE: 

If you want to clear the contents of your new Job Ticket before saving and re-enter your data, just click on the Reset Form Button to clear        the contents.

Retrieve Job Ticket

You can search for specific Job Tickets by using the filters in the real time search function. 

 
  1. Click on Tickets (light blue) in the local Job Tickets sub menu. A table listing all the existing Job Tickets in the system is now generated. 
  1. To filter your search, select the desired search parameters by using the search buttons above the text editor:

a)     Status: 

All
Open
Pending
Closed

b)     Employee: 

All
(select other employees)

c)     Category: 

All
General
(select other categories)

d)     By: 

ID (job ticket number)
Text (type desired keywords in the neighboring text field) 

Note that your search results update automatically as you alter your search parameters. 

e)     No. of Tickets:

You can select the number of Job Tickets displayed on each page. Navigate forwards and backwards between pages by clicking on the light blue Newer and Older arrows below the table displayed. 

 

  1. Click on the table row for the desired Job Ticket in the table to open the ticket. The selected Job Ticket now opens up. You can now write a comment in the text editor, attach files and change the priority status of the Job Ticket.

 

  1. When a Job Ticket opens up, a stack of tabs containing previous messages emerges below the text editor with the latest comment on top. Just click on the desired tab to open the comment or download attached files. 

 

  1. If files were attached to a message, simply click on the light blue attachments at the bottom of the message pallet. Depending on your browser the attachments can be opened in the browser by clicking on them or downloaded by right clicking and saving the file.
 

Update Job Ticket

Once a Job Ticket has been opened, it is possible to add new comments and files to the Job Ticket in an ongoing dialog between the parties involved until the job is completed and the ticket is closed. Each new comment is stacked in tabs underneath the text-editor in the Job Ticket panel with the latest comment on top. Simply click on the tabs to read the messages and retrieve any attached files.

 

To update a Job ticket:

 

 
  1. Open the desired Job Ticket (please refer to “Retrieve Job-Ticket” in this manual).
  2. Write your comment in the text editor.
  3. Attach one or more files to your comments by clicking on the grey Select Files button.
  4. You can change the priority status of the Job Ticket by clicking on the white bottom left drop-down Priority button below the text editor. Please note, that you must write a comment in the text editor in order to update the changes, you have made to the Job Ticket.
  5. Submit your comments by clicking on the pink Submit Reply button located to the right below the text editor. Your comment is now registered in the system.

Log Off

In order to log out of The Magical World of Wizardry, simply click on the LOG OUT button located to the far right in the main menu.

You are now returned to the home page of the main website as a regular visitor.
